Notice of Annual General Meeting Moving to the Fall

The Board of Directors of the Greater Vancouver Interactive Arts Society (GVIAS) gives notice that, subject to the Society’s bylaws and applicable requirements, the Society’s Annual General Meeting will move from spring to fall. The AGM will continue to fulfill the Society’s governance, legal, financial, and membership obligations that support delivery and production of our flagship summer event, What Ifas well as other events.

This change reflects the reality of our annual operating cycle. In past years, the AGM and Board transition have taken place in spring, while the What If production team is already fully engaged in peak event planning and delivery. Moving the AGM to the fall will better align Board elections, onboarding, and leadership transitions with the quieter off-season, improving continuity and reducing overlap between volunteer roles.

Earlier this year, the Society prepared for its usual spring AGM cycle, including setting dates and opening Board nominations. During that process, we identified a technology issue that prevented our membership newsletter and AGM notice from reaching all members, which raised governance and compliance concerns. We have now confirmed that the Society may move to a fall AGM cycle while meeting its regulatory obligations.

Accordingly, this year’s AGM will be moved to the fall, and the fall schedule will become the Society’s ongoing annual AGM cycle. A new AGM date will be announced at the end of summer. Board nominations already received will carry forward to the fall meeting.

As an entirely volunteer-run organization, we are also building leadership capacity now within our leadership and committee structure to support the fall transition and the 2027 cycle. Are you wanting to serve your community in one of these important roles, build community, bring needed skills, gain experience in an Arts Society? We are planning now and invite you to consider your future plans. Information about Board and committee roles will be shared on our website and social channels.
